EPM Calculation Details

Formulas and worked examples for the Enterprise Password Manager ROI model.

Overview

The Enterprise Password Manager ROI calculator estimates benefits from reduced password-related issues and improved credential management. Employee productivity benefits use a fixed 50% realization factor on time saved.

Input Parameters

Core Parameters

Total Employees

Organization headcount

Adoption Rate (%)

Percentage of employees using 1Password

License Cost per User (USD/year)

Annual subscription cost per license

Licenses per User

Typically 1 (can adjust for shared licenses)

IT Department

IT Support FTEs

Number of IT helpdesk staff

Average IT Salary (USD/year)

Converted to hourly: Salary ÷ 2080

IT Hours on Password Resets

Hours per FTE per week spent on resets

Ticket Reduction Expected (%)

% reduction in password reset tickets

Employee Productivity

Password Issues per Employee

Issues per employee per month

Minutes per Reset Ticket

Average time lost per password issue

Average Employee Salary

Converted to hourly: Salary ÷ 2080

Benefit 1: IT Helpdesk Efficiency

Time saved by IT staff from reduced password reset requests

Formula:

IT Weekly Reset Hours = IT FTE × 2080 hours/year × (Reset Hours per Week ÷ 40) × Reduction %

Benefit IT = IT Weekly Reset Hours × IT Hourly Rate

Example Calculation:

Given: 10 IT FTEs, $35/hr rate, 8 hours/week on resets (20% of time), 70% reduction

IT efficiency hours = 10 × 2,080 × 0.20 × 0.70 = 2,912 hours/year

Benefit = 2,912 hours × $35 = $101,920/year

Benefit 2: Employee Productivity Gains

Value of time saved across all employees from fewer password-related interruptions

Formula Steps:

Issues Before = Employees × Issues per Employee per Week

Issues Saved per Week = Issues Before × Reduction %

Hours Saved per Year = (Issues Saved × Minutes per Reset ÷ 60) × 52 weeks

Realized Hours = Hours Saved × Employee Realization (50% base rate)

Benefit Employees = Realized Hours × Employee Hourly Rate

Productivity Realization Factor:

Base realization: 50% (recognizing not all saved time converts to productive work). The live calculator uses this fixed rate.

Example Calculation:

Given: 1,500 employees, 0.39 password issues/employee/month, 35 min/issue, 70% reduction, $39/hr, 50% realization

Issues before = 1,500 × 0.09 = 135/week

Issues saved = 135 × 0.70 = 94.5/week

Hours saved = (94.5 × 35 ÷ 60) × 52 = 2,867 hours/year

Realized hours = 2,867 × 0.50 = 1,433 hours

Benefit = 1,433 × $39 = $55,897/year

(Employee vault savings are calculated separately below.)

Benefit 3: IT Vault & Reporting Efficiency

Time saved by IT through simplified credential management and security reporting

Formula:

IT Vault Hours = IT FTE × Vault Hours per IT per Week × 52 weeks

Benefit IT Vaults = IT Vault Hours × IT Hourly Rate

Example:

Given: 10 IT staff, 8 hours saved per week per IT staff, $35/hr

Annual hours = 10 × 8 × 52 = 4,160 hours

Benefit = 4,160 × $35 = $145,600/year

Additional: Employee Vault Efficiency

Time saved by employees through faster credential sharing and retrieval

Formula:

Employee Vault Hours = Employees × Hours per Employee per Year × Realization

Benefit Employee Vaults = Employee Vault Hours × Employee Hourly Rate

Example:

Given: 1,500 employees, 5 hours saved/employee/year, $39/hr, 50% realization

Total hours = 1,500 × 5 = 7,500 hours

Realized hours = 7,500 × 0.50 = 3,750 hours

Benefit = 3,750 × $39 = $146,250/year

Reference: Data Breach Risk Reduction

Illustrative formula only. Breach risk is not included in the live calculator ROI totals.

Formula:

Expected Annual Breach Cost = (Breach Cost in $M × 1,000,000) × (Likelihood % ÷ 100)

Breach Risk Savings = Expected Annual Cost × (Risk Reduction % ÷ 100)

Example:

Financial services: $5.56M average breach cost (IBM 2025)

5% annual breach likelihood

30% risk reduction from eliminating weak/reused passwords

Expected cost = $5,560,000 × 0.05 = $278,000

Risk savings = $278,000 × 0.30 = $83,400/year

Key Security Improvements:

  • Eliminates weak and reused passwords across the organization
  • Reduces credential theft and phishing success rates
  • Prevents unauthorized access through compromised credentials
  • Strengthens overall security posture and compliance

Costs

Formula:

Total Licenses = Employees × Adoption Rate × Licenses per User

Annual License Cost = Total Licenses × Cost per User

Example:

Given: 1,500 employees, 87% adoption, $66/user/year

Licenses needed = 1,500 × 0.87 × 1 = 1,305 licenses

Cost = 1,305 × $66 = $86,130/year

ROI Calculation

Final Formulas:

Total Benefits = Benefit IT + Benefit Employees + Benefit IT Vaults + Benefit Employee Vaults

Net Benefit = Total Benefits − Total Costs

ROI = (Net Benefit ÷ Total Costs) × 100%

Example Summary:

IT Helpdesk Efficiency

$101,920

Employee Productivity Gains

$202,147

IT Vault & Reporting Efficiency

$145,600

Total Benefits

$449,667

License Costs

-$86,130

Net Benefit

$363,537

ROI
